Independent optometry practices are set to benefit from an intelligent practice management system (PMS) with the upcoming launch of Ooptify, a cloud-based platform that integrates artificial intelligence (AI) throughout its core functionality. Set for official release at the end of 2025, the system promises to address longstanding challenges facing modern optometric practices while delivering the efficiency and connectivity that today’s healthcare environment demands.
Addressing Industry Pain Points
Ooptify emerged from extensive consultation within the optometry industry, where a team of experienced practitioners identified critical gaps in existing PMSs. “Existing PMSs were outdated, inflexible, and disconnected from the modern tools and workflows that practices require today,” explained Calvin Leung, one of the platform’s founders. “Independent optometry was being held back by slow, legacy software that couldn’t integrate with suppliers, lacked automation, and demanded too much manual work.”
Rather than retrofitting AI capabilities, the platform has been built with intelligent features embedded throughout its architecture
Mr Leung said the platform is the result of a collaborative effort between industry veterans, including respected optometrists, dispensers, and practice owners, alongside specialists from optical laboratories and technology sectors. Importantly, Ooptify remains 100% independently owned, with no external corporate backing, ensuring decisions are made with the independent optometry’s best interests at heart.
Intelligence by Design
What sets Ooptify apart is its foundational approach to artificial intelligence. Rather than retrofitting AI capabilities, the platform has been built with intelligent features embedded throughout its architecture. These include automatic generation of structured patient summaries using consultation notes, diagnostic images, and clinical history, alongside voice-to-text transcription for hands-free note-taking.
The system’s predictive analytics surface clinical and retail recommendations during consultations or dispensing processes, while real-time benchmarking insights highlight underperforming KPIs and suggest next steps. Smart prompts streamline workflows, reduce manual entry, and minimise human error – all designed to enhance accuracy while reducing administrative burden.
However, recognising that practices operate differently, the level of AI assistance remains configurable. “How much AI plays a role in the user experience will ultimately be shaped by feedback from our community,” Mr Leung said. “Practices will be able to adjust how AI is applied to suit their own preferences, workflows, and comfort levels.”
Comprehensive Integration
Beyond its AI capabilities, Ooptify offers seamless integration with suppliers and lens laboratories, allowing practices to order directly without leaving the platform and unlock tailored pricing, promotions, and insights. Real-time dashboards show key performance indicators and national benchmarks.
The platform features inventory management with e-commerce simplicity, including mobile-friendly QR code scanning, real-time stock tracking, and supplier-linked ordering. Multi-site and multi-user support enable effortless management of multiple locations or team members, while smart consultation and dispensing tools provide AI-assisted notes and built-in clinical recommendations.
Built-in marketing tools sync with platforms like Mailchimp for targeted campaigns, and the fully cloud-based architecture works from any device without contracts, hidden fees, or hardware dependencies. The pricing structure reflects this simplicity – a straightforward two-tier strategy differentiating between AI-enabled and non-AI setups, with all features included in a single monthly subscription.
Market Response and Future Development
Ooptify is not set to launch until later this year and yet already almost 100 independent practice locations have signed up to use the platform upon availability – a testament to the demand for modern, AI-powered solutions in optometry.
The development roadmap includes automated recalls and notifications, enhanced smart dispensing features, expanded and customisable public booking tools, and a messaging and tasks system to enhance in-practice communication. Plans also encompass eRx prescriptions, the ability to link family members for shared history taking and bundled offers, Amazon Forecast integration for demand prediction, and optional hardware integrations for practices requiring connected devices.
“We view the platform as a living product,” Mr Leung observed. “One that is constantly shaped by the needs and feedback of the practices who use it. Our development path and feature roadmap will continue to be shaped by our users through regular development sessions with our community.”
